How to use Saskey Pulse

A practical walkthrough of the whole platform โ€” setting up your company, adding employees, enrolling faces, marking attendance (personal & branch kiosk), leave, benefits, recruitment and the super-admin console. Web app at pulse.saskey.in with native Android & iOS.

๐Ÿงญ 1. Overview

Pulse is a multi-tenant HR platform: one system runs many companies, each fully isolated. Core modules are Attendance (face + geofence + branch kiosk), Leave, Employee Benefits & reimbursements, School Fees, Onboarding and Recruitment, with a full employee master and Excel import/export.

There are two ways in: the web admin panel for setup, approvals and reports, and the mobile app (Android + iOS) for employees to enrol their face, punch attendance, apply for leave, and for shared branch kiosks.

๐Ÿ‘ค 2. Who does what (roles)

  • Super Admin โ€” Saskey/platform operator. Creates companies, suspends or closes them, and manages other super admins.
  • Owner (Tenant Owner) โ€” the company's top admin. Full access to their company.
  • HR Admin โ€” manages employees, attendance, leave, benefits, onboarding, recruitment.
  • Manager โ€” sees and approves for their own team (e.g. approves their team's face enrolments and leave).
  • Employee โ€” self-service: enrol face, punch attendance, apply for leave, file claims.
  • Kiosk Operator โ€” a trusted login allowed to run branch kiosk face-attendance for others.
Multi-company tip: the same email can be Owner/HR of several companies. Switch between them with the company switcher at the top of the web app.

๐Ÿ”‘ 3. Signing in

  1. Go to pulse.saskey.in/login and sign in with your email + password.
  2. First-time users get a temporary password by email โ€” change it under Password after signing in.
  3. Forgot it? Use Forgot password? on the login page.
  4. The mobile app uses the same login โ€” no separate account.

๐Ÿข 4. Set up your company

As Owner/HR, prepare the basics before adding people:

  1. Organization โ†’ add your Branches, Departments and Designations (each has a code + name).
  2. Attendance โ†’ Sites โ†’ add each work location with GPS coordinates and a radius, if you want geofencing.
  3. Settings โ†’ configure email (SMTP), turn optional modules like School Fees on/off, and set attendance policy (whether face/geofence is required).
Modules you turn off simply disappear from the menus (web and mobile) for that company.

๐Ÿ‘ฅ 5. Add employees

One at a time

Employees โ†’ New employee โ€” fill code, name, contact, branch/department/designation and joining date.

Bulk import from Excel (for migrations)

  1. Employees โ†’ Import โ†’ Download template. It includes a headers row, an example, and an Instructions sheet listing valid values and your existing branch/department/designation names.
  2. Fill the sheet. Dates accept YYYY-MM-DD or DD/MM/YYYY.
  3. Upload and click Validate โ€” a dry run shows, per row, what will import, what's skipped (code already exists) and any errors, with the exact reason.
  4. Fix errors if needed, then click Import. Nothing is written until you do.

An optional invite column (yes/no) also creates a login and emails the person. Use Employees โ†’ Export to download everyone in the same layout (edit and re-import).

Missing masters are errors: an unknown branch/department/designation blocks that row โ€” add it under Organization first, then re-import.

โœ‰๏ธ 6. Give portal access

Employees need a login to use self-service and the mobile app.

  • Link an employee โ€” on an employee's page, create/link a login; they get a branded welcome email with a temporary password.
  • Invite a user โ€” for non-employee access (e.g. shared HR), invite by email and assign a role.

All emails come from your configured sender with a branded template and a one-tap Sign in button.

๐Ÿชช 7. Enrol & approve faces

Face attendance needs each person's face on file, approved by a manager/HR.

  1. Employee opens the mobile app โ†’ Profile โ†’ Enrol my face โ†’ gives consent โ†’ follows the blink/turn prompts.
  2. The enrolment is submitted as Pending with a review photo.
  3. Manager/HR opens the web app โ†’ Attendance โ†’ Face approvals โ†’ reviews the photo โ†’ Approve (or Reject).
  4. Once approved, that face can be used for check-in. Re-enrolling replaces the previous face after approval.
Privacy: consent is captured first; a face is stored as a numeric template plus a review photo, used only for attendance, and can be withdrawn.

๐Ÿ™‚ 8. Mark attendance (employee)

  1. Open the app โ†’ Check in tab โ†’ choose Check in or Check out.
  2. Tap Face check in โ†’ follow the liveness prompts (blink / turn) while your face is in the circle.
  3. The app verifies it's you, captures your location, and records the punch.

Punches that are off-site or can't be verified are flagged for manager review, not rejected โ€” so attendance is never blocked in the field.

๐Ÿ–ฅ๏ธ 9. Branch kiosk (shared device)

A tablet at reception where any enrolled employee walks up and is recognised automatically.

Register the device (web)

  1. Attendance โ†’ Kiosk devices โ†’ register a device for a branch.
  2. Note the Device ID, Secret and PIN shown once.

Pair & run (tablet)

  1. Open the app โ†’ Profile โ†’ Branch kiosk mode โ†’ Pair device โ†’ enter the Device ID, Secret and PIN.
  2. The tablet now runs continuous face attendance for that branch. Exiting kiosk mode needs the PIN.

Watch it live under Attendance โ†’ Kiosk monitor (employee, time, match %, verified/flagged; auto-refreshes). Prefer no dedicated device? Assign the Kiosk Operator role to a trusted employee and they can run kiosk mode from their own login. Revoke a device anytime โ€” it stops working immediately.

๐ŸŒด 10. Leave

Employees apply from the app (Requests) or web; managers/HR approve. Leave types are configured per company, and both sides get email + push notifications.

๐Ÿ’ณ 11. Benefits, reimbursements & school fees

Benefits: enable benefit modules per company; employees file claims with an amount and receipt; HR approves and marks paid.

School Fees (optional module โ€” turn on in Settings): employees add their children and file academic-year fee claims with receipts, subject to per-child caps and a duplicate-claim guard. Available on web and mobile only when enabled.

๐Ÿง‘โ€๐Ÿ’ป 12. Recruitment

  1. Recruitment โ†’ create a job opening and share its public apply link (candidates upload a rรฉsumรฉ, no login).
  2. Applicants land in the candidate pipeline; move them through stages, add ratings and interviews.
  3. Convert a hired candidate straight into an employee record.

๐Ÿงพ 13. Onboarding

Send a new joiner a tokenised onboarding link โ€” they fill their details and upload documents step by step, with no login. HR reviews, approves, and the data becomes an employee record.

๐Ÿ›ก๏ธ 14. Super-admin console

Platform operators see a Companies link in the sidebar.

  • Create a company โ€” set name, slug, region and owner email; the owner gets a welcome email (with a temp password if new).
  • Suspend / Close โ€” change a company's status; suspended or closed companies lose access immediately (enforced in the database), and re-activating restores it.
  • Manage super admins โ€” add by email (the person must already have a login) or remove. You can't remove your own access.
The very first super admin is created once in the database; after that, everything is managed from this console.

๐Ÿ“ฒ 15. Mobile apps

Install Saskey Pulse from the App Store / Google Play, sign in with your Pulse login, and allow Camera (face attendance) and Location (geofencing). The app covers personal punch, face enrolment, kiosk mode, leave and claims.

โ“ 16. FAQ & troubleshooting

Face check-in says "not recognised"

Make sure the face is enrolled and approved (Attendance โ†’ Face approvals), enrol in good light, and hold the face inside the circle. Re-enrol if the person's appearance changed a lot.

A punch is "flagged"

It was off-site or unverified. Managers review flagged punches โ€” this is by design so field staff are never blocked.

Someone can't see a module

It's either turned off in Settings for that company, or their role doesn't include it.

Login email didn't arrive

Check the company's SMTP settings and the person's spam folder; HR can re-send access from the employee's page.

A company can't sign in

If it was suspended or closed by a super admin, access is blocked until it's re-activated under Companies.
